Voyage publishes practical training-operations guidance using official FAA and eCFR sources. These resources are educational, not personalized flight instruction, legal advice, an official logbook, or a substitute for current regulations and instructor judgment.

What this guide helps you do

Document administration works best when each file has a known purpose, a responsible reviewer, and a next action. Voyage stores permitted lower-risk training files, not medical-certificate or government-ID copies; those checks use verification metadata. A date-derived status is a reminder to review the authoritative source, not an authorization to fly.

Key takeaways

  • Collect only documents needed for a defined purpose.
  • Check scanning and authorization before using a file.
  • Verify applicable requirements from current official sources.

Linked sources reviewed . Check the current source before applying a requirement.

Decide the purpose and intended access

Before requesting an upload, identify why the record is needed and who should review it. A shared folder with unrestricted links is not a substitute for workspace permissions.

Some documents contain sensitive information unrelated to the task. Avoid asking for unnecessary material, and keep student-specific details out of calendar descriptions, report previews, and public support messages.

Collection decision

  • Purpose recorded
  • Minimum necessary information requested
  • Responsible reviewer identified
  • Authorized workspace access checked

Record dates without inferring eligibility

Confirm the dates from the actual source document and record the next administrative review. An expiry label can help prioritize attention, but the applicable legal rules may depend on other facts and exceptions.

If a file is quarantined, rejected, unreadable, or unavailable, resolve that issue through the supported private-file workflow. Do not treat a filename or a prior badge as evidence of what the document says.

Close the follow-up loop

When a replacement arrives, review the new source and confirm that the student record points to the intended file. Preserve the distinction between administrative tracking and the CFI's separate review of current requirements.

Use a monthly exception list to locate records needing attention, then investigate inside the authenticated workspace. Do not paste private document links into a public template or send copies to people who do not need them.

Worked example: a review date is not an eligibility decision

Morgan records a follow-up deadline in Alex's private record. When the date passes, the administrative status prompts review of the authoritative source; it does not decide whether Alex is eligible to fly.

Use verification metadata for medical certificates and government identity checks, not uploaded copies. A permitted training PDF remains unavailable until scanning and access checks succeed.
