What this guide helps you do

A student should be able to understand an instructional charge without reading a private debrief. Use the service record to confirm actual time, apply the agreed rate, and keep the payment reference separate from sensitive training notes.

Key takeaways

  • Use actual reviewed instruction rather than the booked duration by default.
  • Separate student collections, processing fees, and Voyage subscription charges.
  • Verify current payment status before following up.

Student invoice collections remain separate from your Voyage subscription. Example workspace · fictional data.

Review the service before calculating a charge

Compare the completed lesson record with the planned booking. A delayed start, shorter flight, or additional ground instruction can change the actual service delivered. Record what occurred and check the instructor's agreed billing arrangement.

This template organizes information; it does not decide tax treatment, legal invoice requirements, or which services you may charge for. Have your accountant review the requirements that apply to your operation.

Charge review

  • Correct student and service date
  • Actual instruction reviewed
  • Agreed units and rate confirmed
  • Any adjustment documented without private lesson detail

Copy the invoice outline

Keep the invoice concise and use a stable reference that can be matched to the payment record. The example below uses fictional amounts only to demonstrate arithmetic; it is not a recommended rate.

Reconcile before sending a reminder

Open the current invoice and provider status before treating a balance as unpaid. Payment webhooks can arrive after the student finishes Checkout, so a browser return page is not payment evidence.

Keep student payment collections distinct from Voyage's workspace subscription. A zero Voyage platform fee does not eliminate payment-provider processing fees, and a gross collection is not profit.

  • Check payment, refund, and cancellation state
  • Review the due date before calling an invoice overdue
  • Keep provider and accounting references together
  • Use authenticated records for any student-specific follow-up

Worked example: reconcile a shorter lesson before invoicing

A 90-minute booking ends with 1.2 hours of reviewed billable instruction under an agreed $60/hour arrangement. The illustrative charge is 1.2 × $60 = $72 before applicable, professionally reviewed adjustments—not $90 merely because the calendar reserved 90 minutes. These are fictional amounts, not recommended rates.

If a payment return page says the flow finished but the invoice is still unpaid, refresh the authenticated source record before following up. A browser redirect alone is not payment evidence.
